Field Trips Utilizing 21st CCLC Funds - Technical Assistance & Training Unit

Prior to planning field trips it is highly recommended that each sub-grantee review the following information to determine whether 21st CCLC funds may be used for such field trips:
In general, keep 3 things in mind when planning a field trip. Is the trip:
1. reasonable (ie: what is the cost to benefit ratio? Ultimately is the money better spent taking the students on the trip versus the funds being spent in-house?)
2. allocable(provides tangible benefits to students within the project period)
3. necessary (will the trip help students build on their knowledge in a way they could not do in the classroom? In other words, why is it necessary for the students to travel for this experience? Tying your curriculum into trips can be a beneficial method to address this concept.)
In particular, be especially cautious of trips that may be construed as "entertainment" as these types of activities may not qualify for reimbursement and/or may require repayment.

It is the responsibility of each sub-grantee to:
- Review applicable Federal and State laws, regulations, and policies
- Determine whether the field trip and associated costs are necessary, reasonable, and allocable (provides tangible benefits to students within the project period)
- Ensure field trips are aligned with the program's curriculum and support the goals and objectives of the approved project application
- Indicate the learning outcomes as a result of the field trip, including identification of pre- and post- measurements
- Maintain appropriate documentation for audit purposes
